Introduction to the job

As Senior (Executive) Management Assistant & Team Lead you act as an ambassador for ASML and the Management Support Community, both internally & externally. You support the managers in an administrative & organized way, while being proactive, discrete and taking confidentiality into consideration, to guarantee an effective and efficient execution of all management support activities. You are the linking pin between your managers, your colleagues and the various ASML Departments and other stakeholders. You need to be able to communicate effectively with all stakeholders and identify issues that require action. Next to this, you will be responsible for leading a group of management assistants.

Role and Responsibilities

As a Senior (Executive) Management Assistant & Team Lead you manage and take ownership of your work while demonstrating a strong drive to achieve meaningful results and show determination in the face of obstacles. You will proactively search for ways to improve customer service and independently manage expectations and meet the (future) needs of the manager. By taking a helicopter view you are able to signal process improvement opportunities and will continuously seek for new ways of working in our fast changing environment. In summary, as a Senior (Executive) Management Assistant / Team Lead we expect you to:

As a Team Lead

  • Seek for opportunities to optimize the daily work for your team and general processes.

  • Be a senior role model for the rest of your team by stimulating a feedback culture, providing (objective) feedback to others, with open communication.

  • Promote (cross) team collaboration and proactively share business information to team and peers, building strong and reliable support to the senior managers of ASML (breaking down the silo’s).

  • Be a teambuilder and understand the importance of sharing knowledge.

  • Manage the support expectations of senior management. Have regular stakeholder meetings and dare to ask the question behind the question. Seek for new opportunities in support and develop the MA’s.

  • Have one aligned way of working within the secretariat.

  • Organize monthly routines and weekly team meetings.

  • Prepare D&P annual cycle via the 360 feedback method and involve stakeholders with help of the Management Support Community. Have D&P dialogues with the assistants.  Suggested approach is to include stakeholders in the conversation(s).

  • Have alignments with other coordinators, Team Leads and assistants, guided by the Management Support Community.

  • Stay connected and involved with the Management Support Community. Use the tools and methods offered by MSO Pro and the Community (i.e. job profiles, competence framework and performance tools/grids).

  • Mentoring and motivating management assistants, to do what? Become successful in their jobs?

  • (Long term) Capacity planning for your team in alignment with senior management and the Management Support Community. Selection and hiring of management assistants.

As a Senior Management Assistant

  • Calendar & meeting management: Effectively and efficiently manage (own) the agenda of your managers. Booking rooms and facilities.

  • E-mail management: Proactive screening and sorting inbox. React to e-mails; filter out what you can do. Prioritize and make your managers aware of certain topics that come up.

  • Communication: Send out announcements, newsletters, reports etc. Act as first point of contact for questions or requests from internal and external parties to appointed managers or department. Liaise with various stakeholders in the company as well as with visitors, customers, suppliers and/or external relations.

  • Facility services: e.g. registration and reception of visitors, floor management.

  • Travel & expense management: Optimize travel of high complexity in different time zones, think ahead and take decisions. Prepare travel expense reports.

  • Meeting preparation and participation: Organize and coordinate meetings (e.g. workshops, events) of the assigned department or managers, take and distribute minutes and action lists.

  • Project and year planning support: Involved in assigned projects. Acquire overall knowledge of the department year plan, activities, projects and daily priorities in order to ensure smooth information and work flow. Secure the quality and execution together with other supporting Departments.

  • Support the uniformity in staff meeting agendas.

Education and experience
  • You have completed bachelor degree (HBO) or similar level based on work experience.

  • At least 7-10 years of experience as a management assistant or in a similar supporting role in a dynamic, international environment.

  • You are fluent in both spoken and written English and Dutch.

  • Complex international calendar management experience is a must.

  • Excellent knowledge of the office 365 package is required.

  • Excellent knowledge and ability to facilitate hybrid meetings and events.

  • Experience working for multiple stakeholders is highly preferred.

  • Experience in leading (small) teams and/or ambition/motivation in developing team members

  • You are tech-savvy (natural interest in IT tooling and learning new systems).
